Privacy Policy

1. Data Collection and Use Practices

EZWave Solutions (“we,” “our,” or “us”) is committed to protecting your privacy. We collect personal information that you voluntarily provide to us when you express an interest in obtaining information about us or our products and services, when you participate in activities on our services, or otherwise when you contact us.

The personal information that we collect depends on the context of your interactions with us, the choices you make, and the products and features you use. This may include names, phone numbers, email addresses, mailing addresses, job titles, contact preferences, and health-related information necessary for providing our services.

We may also collect your phone number and SMS consent preferences when you voluntarily opt in to receive text communications.

2. Patient Privacy Protections (HIPAA Compliance)

As a provider of healthcare-related services, EZWave Solutions strictly adheres to the Health Insurance Portability and Accountability Act (HIPAA). We implement robust administrative, physical, and technical safeguards to ensure the confidentiality, integrity, and availability of all Protected Health Information (PHI) we create, receive, maintain, or transmit.

3. SMS Communications & TCPA Compliance

We comply fully with the Telephone Consumer Protection Act (TCPA) and A2P messaging requirements.

By providing your phone number and opting in through our forms, you consent to receive text messages from EZWave Solutions, which may include appointment reminders, service updates, and promotional messages.

Message frequency may vary. Message and data rates may apply.

You may opt out of receiving SMS messages at any time by replying “STOP” to any message. For assistance, reply “HELP” or contact us directly.

We maintain an internal Do-Not-Call list and honor all requests to be added to it immediately.

Submitting a contact form authorizes EZWave Solutions to respond to your inquiry through phone, email, and other communication methods. SMS communications require separate opt-in consent where applicable.

4. Data Security and Encryption

We have implemented appropriate technical and organizational security measures designed to protect the security of any personal information we process.

All data transmitted between your browser and our servers is encrypted using industry-standard TLS/SSL protocols. Data at rest, particularly PHI, is encrypted using AES-256 encryption.

Despite our safeguards and efforts to secure your information, no electronic transmission over the Internet or information storage technology can be guaranteed to be 100% secure.

5. User Rights and Data Access

Depending on your location and applicable laws (including HIPAA), you may have certain rights regarding your personal information:

6. Cookie and Tracking Policies

We may use cookies and similar tracking technologies (like web beacons and pixels) to access or store information. Specific information about how we use such technologies and how you can refuse certain cookies is set out in our Cookie Notice.

We do not use tracking technologies in a manner that would compromise PHI or violate HIPAA regulations.

7. Third-Party Data Sharing Practices

We only share information with your consent, to comply with laws, to provide you with services, to protect your rights, or to fulfill business obligations.

We do not sell your personal information to third parties.

Any sharing of PHI is strictly governed by HIPAA regulations and appropriate Business Associate Agreements.

8. Data Retention Policies

We will only keep your personal information for as long as it is necessary for the purposes set out in this privacy notice, unless a longer retention period is required or permitted by law (such as tax, accounting, or other legal requirements, including HIPAA retention requirements for medical records).

9. SMS Opt-In Data Protection

⚠️ CRITICAL COMPLIANCE NOTICE

We do not sell, rent, or share SMS opt-in data or phone numbers with third parties or affiliates for marketing purposes.

Your SMS consent is used solely for communication with EZWave Solutions and is not shared with any external parties except as required to deliver messaging services (e.g., messaging providers), and only under strict confidentiality obligations.
